Why You Should Come to a Monthly Association Meeting

By the Green and White Youth Association · · 3 min read

On the first Wednesday of every month, the Green and White Youth Association holds a meeting at the GWYA building in Pen Argyl. These meetings are open to anyone: parents, coaches, players' grandparents, local business owners and neighbors who simply care about youth sports. Many families never attend, often because they are not sure what happens there. Here is what to expect and why it is worth your time.

What happens at a meeting

Meetings usually follow a simple structure. The board reviews the association's finances, shares updates from each sport and discusses upcoming events and decisions. Coordinators for football, cheer and softball report on how their programs are doing, what they need and what is coming up.

Members of the public can ask questions, offer ideas and volunteer for upcoming needs.

Why meetings matter

Transparency

Open meetings let families see how the association is run and how money is spent. Transparency builds trust, and it is an important part of how a nonprofit stays accountable to the community it serves.

A voice in decisions

Decisions about schedules, fees, events and policies affect every family. Attending meetings gives you a chance to share your perspective before decisions are made.

Early information

Meetings are often the first place where news about sign-ups, events and changes is shared. Attending helps you stay informed and plan ahead.

Finding ways to help

The association depends on volunteers. Meetings are a great place to learn where help is needed, whether that is coaching, fundraising, field work or event planning.

Meeting people

Meetings bring together people who care about the same thing. Many volunteers say they made some of their best friends through the association.

What you do not need to do

You do not need to commit to anything to attend. You do not need to speak if you do not want to. You do not need to know anything about how the association works. Many people attend simply to listen and learn.

Tips for your first meeting

  • Arrive a few minutes early and introduce yourself.
  • Bring questions you have about the program.
  • Listen and get a feel for how meetings work.
  • Talk with board members or coordinators afterward if you have specific questions.

How decisions are made

The association is governed by an elected board and its bylaws, which outline how officers are chosen and how decisions are made. Meetings are where many of those decisions are discussed and voted on. Understanding the process helps families participate effectively.

Join us

Dates and times for meetings are announced on our Facebook page. We hope you will join us. Whether you come once or every month, your presence and perspective help make the association stronger.

A community effort

The Green and White Youth Association belongs to the community. It is only as strong as the people who support it. Attending a meeting is one of the simplest ways to be part of that community and help shape its future.
